The firm started in Palm Beach Florida, and now our clients are located throughout the east coast. Our projects are 80% local and 20% out of State.

 

Job Description

 

R Titus Designs is looking for a Design and Procurement Assistant (DA) to join the team and work directly with the Principal Designer. The DA is an essential part of the purchasing and design process throughout our projects. The DA will need to be experienced handling a variety of tasks including purchasing, procurement, documentation, and coordination. They will be skilled in transferring and sharing information as they will act as a point-person for communication with vendors, contractors, and our receivers. DAs will be in constant communication working alongside the principal designer, providing up-to-date reports aligned with other aspects of the projects. DAs will need to be self-starter and have a keen eye to foresee and prevent possible mistakes and/or logistical snags. Our Design and Procurement Assistant should have a positive, can-do attitude, and feel comfortable researching and summarizing topics for the team. This is an in-person role.

 

Job Responsibilities 

 

  • Attend, document and distribute meeting minutes for Client and Site meetings

  • Record and Organize all Client & Sub-Contractor communication

  • The assistant will provide input on the master Client schedule & review with the principal designer

  • Assist with detailed Project Documentation (including measurements of existing site conditions and taking/filing of photos, and other collateral)

  • Support Lead Designer with the development and management of estimating budgets and spreadsheets

  • Procurement & Sourcing: Manage the procurement process by design direction, ensuring timely and accurate purchasing of materials, furniture, and accessories per project specifics

  • Build supporting documents for Client Proposals (including specification sheets, design research and Pricing proposals)

  • Assist with Client presentations (including assembling samples, materials and pricing for design presentations)

  • Manage order delivery timelines and tracking

  • Project Coordination: Work closely with the RTD team to track and assist in the coordination of project deliverables, including schedules, orders, deliveries and procurement management

  • Support design teams during all project phases - from design development through installation

  • Maintain a clear and organized record of all procurement-related activities to ensure smooth accounting management, project execution and client invoicing

  • Assist with final project and mid-scope installations and assemble project punch lists

 

Job Requirements

 

  • 3 years’ experience in purchasing/procurement management in the design industry 

  • Experience working in the Interior Design field a plus

  • Skills in Chief Architect are preferred

  • Comfortable with Microsoft products

  • Positive/Upbeat and outgoing disposition

  • Individuals must be professional, responsible, highly organized & detailed oriented, have strong work ethic & time management skills, and take initiative

  • Strong written and verbal communication skills

  • Applicants must be willing to travel to our studio in Oak Park, IL, vendor locations and showrooms throughout the Chicago area. Adequate notice will be provided for out-of-town trips

  • Enthusiastic about design, eager to learn, research, discover new vendors and ideas, and take initiative

  • Follow up with vendors and contractors, with professional assertiveness if necessary

  • Comfortable lifting 20lbs. and standing or sitting for extended periods

  • Comfortable with an early day. Punctuality is essential
